What drives the bill

The base fee is the smaller part of the decision for most accounts. CallRail bills usage on top of every plan, and three things move it:

  • Tracking numbers. Each plan includes 5 local numbers. Dynamic number insertion needs a pool of numbers sized to your traffic, so a busy site or an agency with many campaigns can need far more. Extra local numbers are $3 each a month and toll-free numbers $5.
  • Minutes. 250 local minutes are included. Toll-free minutes are $0.08 each. The page showed two different figures for extra local minutes ($0.05 and $0.06), so check the rate in your quote.
  • Texts and forms. 25 SMS are included and extra texts are $0.03 each. The Complete plans include 1,000 form submissions, then $0.02 each.

Usage is billed monthly even on a yearly plan: annual billing takes the 12-month base fee up front and still invoices the previous month's usage each month. CallRail's page states that usage charges are not refundable.

Which plan fits

  • Lead Tracking if the job is attributing calls to sources and sending them to Google Ads or GA4.
  • Lead Tracking Complete if web forms matter as much as calls and you want both in one lead list.
  • Lead Conversion if you want calls transcribed and analysed (who booked, who asked for a quote) rather than only counted.

Estimate your own cost

Count the numbers you need first. A common starting point for dynamic number insertion is enough numbers that one is never shown to two visitors within the attribution window, so peak hourly visitors from tracked sources is the figure to look at. Then add expected call minutes above 250. As a worked example on the figures above: Lead Tracking with 10 extra local numbers is $50 plus $30, or $80 a month before minutes. Add 1,000 toll-free minutes and the toll-free line adds $80 (plus the $5 number).

If you also run a CRM-side lead tracker or Google's own call tracking, compare what each adds before paying for both. CallRail vs Google Ads call tracking sets out what the free option misses.

Cheaper or different options

WhatConverts starts lower ($30 a month for call tracking on a single account, read the same day) and treats forms, chats and calls as one lead list: see WhatConverts pricing and CallRail vs WhatConverts.
